How to Build an Effective Equipment Inventory Management System

Equipment tracking is a critical part of any business’s success. Without an organized and efficient equipment tracking system, it can be difficult to know where all your assets are at any given time. A well-managed equipment tracking system can help ensure that your business can keep up with customer demand, save money, and maximize efficiency.

The key to building an effective equipment tracking system is to utilize the latest technology. By leveraging RFID tracking, barcode scanning, manual input, and enterprise cloud storage, businesses can track and manage their equipment inventory with ease. RFID tags can be placed on equipment to allow for long-distance detection, while barcode scanning and manual input can be used to quickly and accurately add or remove items from the inventory. An enterprise cloud storage system allows businesses to store, access, and sync all of their inventory data in real-time.

Keep Your Industry In Mind

Depending on the type of industry you are in, you need to take into consideration the size of your inventory, the type of equipment you will be tracking, and the environment in which your equipment is used. For example, if you are in the rental industry, you need to consider whether you will be tracking small items such as chairs and tables, or larger items such as tents. You also need to consider if the environment is harsh, such as industrial sites, or if you will be tracking your equipment in an office space.

Invisi-Tag has the perfect solution for any industry and any size inventory, no matter the environment. Our Level 1 and Level 2 packages provide access to our simple inventory and equipment tracking software right on your smart device. Our Level 3 package offers advanced digital equipment tracking (RFID) technology, allowing you to quickly scan numerous pieces of equipment in seconds. We also offer different types of RFID tags, such as metal label tags, all-purpose tags, and non-metal tags, to ensure the quickest and most accurate scanning of your equipment and other inventory.

Which Level Works Best For You?

When it comes to equipment tracking, there is no one-size-fits-all solution. Different businesses have different needs and budgets. That’s why Invisi-Tag offers three different levels of packages for equipment tracking.

Level 1 is the most basic package, and is ideal for businesses with less than 100 pieces of equipment. This package provides access to our simple inventory and equipment tracking software right on your smart device. Keep your business organized on the go, and have everything you need to ensure a job well done — including easy-to-understand inventory reports for your viewing.

Level 2 takes things to the next level as it not only provides you with our equipment tracking system from Level 1, but brings additional functionality, including an enterprise web account, QR and barcode scanning, and the ability to view, export, and print all of your inventory reports. This package is best for businesses with 100-250 pieces of equipment.

Level 3 is the most advanced package, and has the major difference in digital equipment tracking (RFID). With integrated RFID tags and handheld devices, you can quickly scan numerous pieces of equipment in seconds. This package is best for businesses with more than 250 pieces of equipment.

Choosing The Right Tags

When selecting the right RFID tags for your business or industry, it is important to consider the type of assets you are tracking, the material of the assets, the environment in which they are stored, and the overall requirements of the application.

For non-metal assets such as plastic, wood, fiberglass, and carbon fiber surfaces, non-metal RFID tags are ideal. These 4” x 2” tags feature a detected read range of up to 30 feet and can be enhanced and protected by wrapping with any non-metal tape or silicone tape to withstand any harsh weather or environment.

For metal assets such as steel, aluminum, and iron surfaces, metal label tags are the best option. These 1” x 2” tags feature a detected read range of 5-12 feet and tags read intermittently for longer distances of up to 20 feet. These tags are durable and attach with adhesive on surfaces. We recommend wrapping the label with weatherproof silicone tape to further protect the tag.

Finally, for both metal and non-metal surfaces, all-purpose RFID tags are a nice catch-all. These 4” x 2” tags feature a detected read range of up to 12-20 feet and are enclosed in a

Train Your Employees

The introduction of a new equipment tracking system can be an intimidating process for employees. Employers must understand the importance of training their staff to ensure the success of the system. With the right training, employees will be able to quickly and easily adjust to the changes, allowing the business to reap the benefits of its new system.

Employees should be provided with comprehensive training materials that are easy to understand and use. These materials should include step-by-step instructions on how to use the system, as well as an overview of the benefits and features. Training materials should be tailored to the specific needs of the business, as different businesses will have different requirements.
